1. Who we are & scope
Effective 2 June 2026.
This Privacy Policy explains how Shri Radharaman Library ("SRRL", "we", "us") — a study library and coworking space at GF, Govind Dham, Railway Road, Garhi Harsaru, Gurgaon – 122505 — collects, uses, stores, and protects personal information.
It applies to our website shriradharamanlibrary.org (including the registration form, enquiry form, member portal, and free tools) and to the data we keep when you become a member or get in touch with us.
By using the site or registering as a member, you agree to the practices described here. If anything is unclear, please contact us — we're happy to explain.
2. Information we collect
Specific to what our forms and portal actually capture.
Registration & membership
When you register (online or at the front desk) we may collect:
- Full name and (optionally) father's/guardian's name.
- Contact details — mobile number, an alternate mobile, and email address.
- Date of birth and gender (optional).
- Postal addresses — current and permanent (optional).
- Occupation / institute (optional).
- A government / photo ID — the ID type (Aadhaar, PAN, Voter ID, Driving Licence, Passport, Student ID, or Other) and ID number, plus optional uploaded photos of the ID (front, and back where applicable).
- A photograph / selfie (optional).
- Membership choices — chosen plan, intended joining date, preferred seat/shift.
- Emergency contact (a name + phone, if provided).
- Device Wi-Fi MAC address(es), if you give them, so we can set up network access.
- A declaration — the name you declare, whether you are signing for yourself or as a guardian, and your acknowledgement that you agree to the library rules.
Payments & receipts
For each fee you pay we record the amount, payment mode (cash, UPI, card, or bank transfer), date, plan, and a sequential receipt number (format SRRL/YYYYMM/####), along with the validity period it covers. We do not store card numbers, UPI PINs, or bank credentials.
Enquiries & leads
If you send an enquiry through the website (or we note one from a call/walk-in), we collect your name, mobile number, and message, plus any optional details you share — purpose of visit, occupation, age, preferred plan, locality, intended joining date — and the lead source (e.g. phone, walk-in, WhatsApp, Instagram, referral).
Member portal activity
When you sign in to the member portal we process:
- Print requests — the file you upload, its title, page count, colour choice, and notes.
- Tool requests / suggestions — the tool name, description, intended audience, and optionally your name and email.
- Poll votes — your chosen option(s), tied to your account so each person votes once.
- Profile-update and seat-change requests you submit for the front desk to review.
- Your seat assignment and an optional "stay intent" date (when you plan to stop using your seat — informational only).
- Your Google sign-in identity (the email / account ID), used only to match you to your member record.
Technical & device data
Like most websites, we receive basic technical information such as browser type and device/user-agent string. Two third-party Google services run on some pages:
- Google reCAPTCHA — bot/abuse protection on forms; it processes device and interaction signals per Google's policy.
- Google Maps / Places — used for address autocomplete on the registration/enquiry forms.
3. How we use your information
Only for running the library and serving you.
- Provide the service — assign and manage your seat, run the member portal, and operate the free tools.
- Manage membership — verify identity, track your plan and validity, handle renewals, trials, and seat changes.
- Process payments — record fees and issue receipts.
- Respond to enquiries — call or message you back about your interest in joining.
- Security & fraud prevention — protect the premises, our network, and members; investigate misuse; meet our published rules and any lawful requests.
- Service updates — send membership, fee, and trial reminders or notices over WhatsApp or email where you have shared those details and opted in. We do not sell your data or send unrelated marketing.
4. Service providers & third parties
Who else touches the data, and why.
We keep our stack small and rely on a few trusted providers:
- Google Firebase — our core platform: website hosting, the Firestore database, Cloud Storage (for uploaded documents and receipts), and Authentication (Google sign-in). Our database and storage are configured in the asia-south1 (Mumbai, India) region.
- Google reCAPTCHA — protects our forms from bots and abuse.
- Google Maps / Places — powers address autocomplete on our forms.
- Meta / Instagram — see the note below.
About Instagram
The library runs its own Instagram presence (@shriradharamanlibrary) and uses the Instagram Graph API to publish our own posts and read engagement on our own account. We do not collect or harvest visitors' Instagram data through this. If you choose to follow, message, or interact with us on Instagram, that activity is governed by Meta's own privacy policy — see privacy.instagram.com.
These providers process data on our behalf under their own terms and privacy policies. We share the minimum needed for them to do their job, and we don't sell your personal data to anyone.
5. Data retention
How long we keep things.
- We keep your member record while your membership is active, and afterwards only as long as needed for legitimate business, accounting, and legal purposes (for example, so we can re-print historical receipts on request).
- Receipt PDFs auto-expire from cloud storage after 3 days, and their download links self-expire — they are re-generated on demand from the underlying fee record.
- ID documents and photos are kept securely with access restricted to administrators, and can be deleted on request once they are no longer needed (see Your rights).
- Enquiry/lead records are kept to follow up and understand demand; print-request files may be deleted by the front desk once the print is fulfilled.
6. Data security
How we protect what we hold.
- Admin-gated access. Member records, enquiries, and uploaded documents are readable only by library administrators — enforced server-side by Firebase security rules, not just hidden in the interface. One member cannot see another member's data.
- Restricted storage. Uploaded ID proofs and member documents live in access-controlled cloud storage; only admins (and, for their own documents, the owning member) can read them.
- Signed, time-limited links. Sensitive files such as fee receipts are served through short-lived (around 10-minute) signed URLs rather than permanent public links.
- You sign in with Google authentication, so we never store a password for you.
No system can be guaranteed 100% secure, but we take reasonable, layered measures to keep your information safe.
7. Your rights
Access, correction, deletion.
You can ask us to:
- Access the personal data we hold about you.
- Correct anything inaccurate — members can also submit profile-update requests directly in the member portal.
- Delete your personal details and uploaded ID images when they are no longer required (note: certain already-issued fee records may be retained for accounting and legal obligations).
To make any of these requests, just contact us in person, by phone/WhatsApp, or by email. We'll verify your identity and respond within a reasonable time.
8. Children & minors
Registration for under-18s.
The library is intended for students and adults. Minors (under 18) should register with a parent or guardian involved — the guardian completes and signs the registration, provides their own ID, and accepts responsibility for fees, conduct, and the rules on the minor's behalf. We do not knowingly collect data from a child without guardian participation.
9. Cookies & local storage
What runs in your browser.
We use the minimum necessary:
- Sign-in / session cookies and storage from Firebase Authentication, so you stay signed in to the member portal.
- Browser localStorage for app state (for example, a saved form draft or interface preference).
- Cookies/identifiers set by Google reCAPTCHA and Google Maps/Places on the pages where those features appear.
We do not run third-party advertising networks or cross-site ad tracking on this website.
10. Changes to this policy
Keeping it current.
We may update this policy from time to time as our practices or the law evolve. When we do, we'll revise the effective date at the top of this page. Significant changes may also be announced on our website or to members directly. Please check back occasionally.
